General Functions#

New to banto booking? No problem. Find tutorials on how the most basic and important functions of banto booking work right here!

The tutorial for these functions of banto booking work no matter if you're a participant, experimenter or admin. All information about participation is in the Participant User Tutorials though.

Registration#

There's two ways to be registered at banto. The first one is the common way - you just simply register yourself at banto.

In the second case an Admin creates you as a user. To not spam you with emails and to secure your data, you will not be informed via email by this. Your admin will inform you of this themselves. Here's what you are supposed to do then as banto does not give out temporary passwords to keep data secure:

  • Go to banto
  • Choose "Forgot Password"
  • Set a new one and log in

Profile#

To enter your profile go to Account > Profile.

Here you can:

  • Change your name
  • Enter your E-Mail-Adress
  • Enter your student number if you are a student
  • Enter your phone number
  • Subscribe to Newsletter about new postings
  • Change your password
  • Delete your account

MyData#

If you want to successfully work with banto booking and participate in postings, it is crucial that you assign yourself some user properties.

You can do that when going to Account > MyData.

  • Select a fitting user property
  • Agree to the privacy policy
  • Add them to your user properties

You can also easily unassign user properties:

  • Simply click on the little red trash can on your assigned user properties and it's gone.

What are user properties for?

User properties exist to tell the experimenter something about yourself. They're not set by banto booking, but by the Admin who has purchased banto booking. Usually user properties is demographic information about yourself that's important for the posting. Say we're conducting a research about how much influence Social Media has. The experimenter might want the participant to have certain properties so to conduct the study correctly. He might want his participants to be between 18-30 of age perhaps. So as to not ask every single participant to verify their age before entering the posting, he simply sets this user property when creating the posting. Now if you've assigned yourself that property, this posting will be shown to you and you can participate with ease. If you're not, the posting will simply show as full. This makes things a lot easier for both participant and experimenter. The experimenter can be sure the participant fulfills the necessary requirements and the participant knows that the postings shown to them fit them.

Participant User Tutorials#

If you have a participant-only access to banto booking these are the tutorials for you.

When you first open banto booking you will find a list of general postings for you on the right side of the screen and your current posting schedule for the day on the left side of the screen. If you scroll down, you will find a list of your participated postings - you can review them after you've participated in them. For more information on reviews, please go here.

Participate#

Here are all the different ways to participate in a posting:

1.

  • Head to Postings > Participate
  • Take a look at the general postings and choose which posting you'd like to participate in. After clicking on the posting you'd like to participate in you'll find some short information about it, like description, duration and compensation. Please read careful through the requirements and only participate if you fulfill them. Also make sure you know how many session you will have to come for. You've got to sign up for each session. You will also find the contact information of the experimenter here as well as the location of the posting
  • To participate you have to confirm the requirements
  • After you've confirmed, choose "Go to sign up" and banto booking will lead you to its bookings calendar
  • Choose a fitting date and time for you (earliest possible booking is in information) and sign up!

2.

  • Head to Postings > Bookings
  • Here you'll find all possible open slots for every available posting for you
  • Choose a slot that fits your schedule
  • Click on the appointment
  • You can either choose to book right away by clicking on sign-up or if you need more information about the posting click on "Go to posting" and you'll have the same information displayed there as in Option 1
  • That's it!

3.

  • Simply use the landing page for participating
  • Choose a posting of the general postings and click on it
  • After that simply follow the steps of 1. to participate in the posting. That's it!

You can sign out of postings the same three ways you've signed in:

  • Head to Postings > Participate
  • Scroll down to "Participated Postings"
  • Choose the posting you want to sign out of
  • Click on it and look for it in the Calendar
  • Click on the appointment and choose "Sign Out"

2.

  • Head to Postings > Bookings
  • Filter out the posting you want to sign out of
  • Click on the appointment and choose "Sign Out"

3.

  • Use the landing page to sign out: scroll down to "Participated Postings" and simply repeat the steps of 1.

Bookings#

The Bookings give you a great overview about all postings taking place.

  • Filter postings to see the schedule of your posting
  • Participate in a posting like described here
  • Export schedules to iCal

Credits#

This is how Credits work:

Credits are for students using banto bookings.

  • Experimenters are able to compensate postings by assigning them up to three credits
  • If you need to reach a certain credit score, you're capable of gaining credits by participating in those postings
  • Credits help you keep track on how much credits you've already collected and how many you will still need to collect

User Ratings#

In User Ratings, users have a chance to rate the postings they've participated in as well as the experimenters. This is not an open voting and will be between the user and the experimenter. Vice versa experimenters are able to rate users. This is also a private rating and not open to the public. Only the Admin is able to also see all ratings. We'd like to ask you to be professional in your ratings.

Participate and Bookings#

For general information about participating and everything about bookings, please visit here.

Admins and Experimenters have the option to sign participants up themselves.

  • Go to Postings > Bookings (or Participate) and choose an appointment, but instead of signing up yourself, scroll past that button and you will find the option "Book this appointment for someone else".
  • Make sure you have the consent of the person you are signing up!
  • Enter their first and last name as well as their email, confirm you got permission to sign them up as well as for them to agree to the privacy policy and sign up for them. They will get a notification email with date, time and location and are able to view the posting.

Admins and Experimenters can also cancel appointments for other participants

  • Go to Postings > Bookings and choose the appointment the participant you want to cancel for has signed in in and click on "Cancel appointment" - that's really it
  • This is an important feature if you can't uphold an appointment or if you'd like to delete your posting as a whole, which is only possible if no participants are signed in in it anymore

Create a new posting#

Description#

In the description you can either choose to copy the attributes from an already existing posting and change some aspects, or you create a whole new posting. If your posting is part of a special theme, you can also choose a type of posting. For more about Collection Types, please go here.

For the new posting, you need

  • A title
  • A short teaser that describes your posting in the notification email
  • A short description of the purpose for the website
  • Describe the length of the posting - not the exact time period - to your participants: how many session are there, how much time will they have to make?
  • If you choose to compensate with Credits, you can compensate with up to 3 Credits
  • Otherwise describe your compensation to your participants
  • Define requirements for your participants: Describe why you would need those requirements and then set them one by one. Your participants will be asked to confirm them before they are able to sign up. These requirements are meant to be a soft barrier and an add-on to the property filter you will encounter later on.
  • Fill out the Contact Information: Who manages the posting? What's their number? Where will the posting take place?

Now to the numbers:

  • Define the number of participants you need
  • Define the number of sessions for each participant
  • Define how many participants you plan on inviting simultaneously

banto booking will automatically generate the number of appointments you will need.

  • Define the length of the posting itself (choose between days, hours and minutes)
  • Define the preparation time you might need right before each participant arrives
  • Define the clean up time you might need right after each participant leaves
  • Define the notice period: how many hours ahead of time are participants allowed to sign up and how many hours before the posting starts are they allowed to sign out?

Calendar View:

  • Define the start and ending time for the Calendar View
  • Define the Intervall (in minutes) that will be used to display the Calendar. Do define the Intervall or it won't be possible to display the Calendar and you won't be able to fill the slots.

Third Party Funding: This only applies for academic research

  • Please claim money for participant recruitment (10% of the participant money or - if this is not applicable - at least 1.2€/participant) in your future grants, whose research will rely on participant r$ Please play fair and do not forget to claim money for using banto in the grant application and to enter the grant information here. Your contribution will not cause you any additional expenses. With $

Bookable Items#

Here you can choose as many bookable items as you need. Admins are able to add bookable items. The items are only shown as booked once a participant has signed up for an appointment.

  • Simply choose a the items you need and add them by checkmarking them, e.g open Rooms and pick U12, open Eyetrackers and pick Dekablis

Posting Filter#

Include or exclude participants from previous postings.

  • If you include participants from previous postings, the posting will only be accessible to them.
  • If you exclude participants from previous postings, the posting will not be accessible for those participants from those postings
  • Choose whether you want to include or exclude participants
  • Checkmark the previous postings you want to include/exclude participants from. That's it!

If you want neither, just don't checkmark anything and move on.

Property Filter#

Property filters are a hard barrier. If a participant does not possess the user property you set here, they will not be able to sign up to your posting.

  • Choose a user property
  • Select whether the participant should not have the property or is required to have the property
  • Click add and add as many user properties as you need, then simply move on
  • If you've picked a user property you did not want to pick, you can easily remove the property by choosing "remove"

Booking Options#

Booking options is the last step you need to complete to publish your posting.

  • Pick a day and time on which you'd like your posting to be scheduled and simply click on the empty slot
  • Now you're able to specify your time slot individually like day and time once again
  • You can choose to schedule simultaneous appointments
  • You can create a series of appointments and define how much time you would like between them
  • When you've decided all the specifics, click on "Save Changes" and your appointment will be generated
  • Create as many single appointments as you need. There's a bar on the right which indicates how much appointments you will need to make indicated by your numeral entries in your description. When the bar turns green and shows you've created e.g 25/25 appointments, you're good to go
  • Click on publish posting. The moment your posting is published, your participants will be informed via email notifications.

There you go. You've created your experiment!

Created Postings#

As an Experimenter or Admin all your created postings are right on your landing page after you've logged in. You can also get there through Postings > Created.

If you want to have a more detailed look on all the functions of editing an experiment head here.

  • Click on one of your postings to get a quick overview of what it includes
  • Click on the little Icon with the pencil to edit your posting. Change whatever needs to be changed and update your posting afterwards
  • Click on the little Icon with the people to view all participants who have enlisted
  • Click on the Share-Icon to share your posting with other Experimenters/Admins
  • Click on the little Icon with the trash can to delete your posting

You cannot delete a posting when participants have signed up into it. You can, however, archive it.

In the created postings, you can also:

  • Check the status of your experiments: "Recruiting" means that you still need participants, "Complete" means that you've enough participants and your posting can begin, "Refill slots" means that you have missed scheduling an appointment and there's still open time-slots you will have to fill
  • You have an overview of all the slots your posting has
  • You can see how many participants have already signed up for you posting

Archive#

Before you decide to delete a posting for good, you should consider archiving it.

  • Go to Posting > Archive
  • Simply archive whatever posting you would like to archive

Archived postings are only visible and accessible through the archive. Only the creator of the posting can see it there. Participants have no access to the archive.

Bookable Items#

Head to Bookable Items to select certain equipment and check its availability.

An item only shows as booked for sure, if a participant has signed up to the appointment the item was booked for. That way we ensure that there will be no empty slots and no rooms reserved without an appointment actually taking place.

Users#

Experimenter View#

These are your options for "Users" as an Experimenter

Edit Properties#
  • See the list of all available user properties
User Access#
  • You can block users from all of the postings by blocking them in "General Block"
  • You can block users from groups by choosing "Block for group"
  • You need to give a reason for both blocks
  • You can see if a user is activated

Admin View#

These are your options for "Users" as an Admin

Edit Properties#
  • Add new user property type by simply naming the property (e.g "female") and choose what kind of property type it is
  • After you've added it, it will appear in the available user property types
  • To delete a type simply click on the little trash can icon next to the property
User Access#
  • You can block users from all of the postings by blocking them in "General Block"
  • You can block users from groups by choosing "Block for group"
  • You need to give a reason for both blocks
  • You can see if a user is activated

Export iCal#

To keep track of your appointments banto booking allows you to export all calendars to iCal.

Participant

  • You can export the "Bookings" calendar to iCal
  • Simply click "Export iCal", which is under the filters, and it automatically downloads the iCal file to your computer
  • Open the iCal file and it will transfer the appointments to the calendar on your device

Upload iCal to your Google Calendar

  • Go to Google Calendar on your computer, not your mobile device
  • You need to click on the plus sign at the "Other Calendars" section and choose "Import"
  • You can now choose a file from your computer, select the banto booking iCal file and upload it
  • Choose on which of your calendars you would like it saved to and click "Import"
  • That's it! Now you can access your calendar on all your devices

Admin#

You will find all Admin-Functions at Admin. This will focus on some of the most important features of the Admin functions and explain them to you.

Collection Types#

Collection types help you organize your postings. You can set a collection type for a specific event/a number of postings. This also allows you determine things like starting and ending times for all of the types of postings listed under this particular collection type. Here's how you do it:

  • Go to Account > Admin > Collections > Collection Types
  • Add a new collection type by labeling it and clicking on "Add type"
  • Now it's in "Existing collection types"
  • Here you're able to choose an "Access start date and time" as well as an "Access end date and time"
  • You can also choose at which date and time you would like to display this collection type - simply choose "Display Start Date" and "Display Start Time" as well as also setting a "Display End Date" and "Display End Time" to do so
  • "Display time interval" is also available for choosing
  • Choose the visibility of the collection type
  • Set it as default
  • Delete it using the little red trash can icon

That's it! Use collection types for larger events with many different postings happening as part of this event or a number of experiments of the same project for example.

Bookable Resources#

Add resource types to choose from

  • Go to Account > Admin and click on "Bookable Resources"
  • First add a new type to your resources types. Give your resource type a name like "Rooms" and add the type
  • Now scroll down to "Resource Items"
  • Add a new resource item by giving it a name, e.g "12"
  • Select a type out of your already existing types like the one we just created: "Rooms"
  • Add a description if you'd like, e.g "Building A"
  • Add a status if you like
  • Click "Add Item" and now you have a Room 12 in Building A that you and your Experimenters can choose

Users Management#

Create Users#

Create Users to add Participants, Experimenters and Admins

  • Use "Create Single User"
  • Simply add first name, last name, email, phone number (optional) and choose a role for your new user (Participant, Experimenter or Admin)
  • Click "Create User" and inform the new user. They can now go to banto, click on "Forgot Password", choose a password and log in

or

  • Use "Create User using a User List"
  • Create a csv (ascii format) file using this formation for each user: first name, last name, telephone, role, email without spaces
  • Upload the csv file and compose an invitation email
  • The invitation email will address each new user automatically by their name, the body of the email is up to you. Use {link} in the body of the email to insert a functioning link to banto booking

  • Click on "Create Users" to notify all your new users

Existing Users#

You have an overview over all your existing users in the database

  • See registered date and last visit
  • See if they're activated or not
  • See their roles and edit their roles: simply click on edit roles and grant or revoke Participant, Experimenter and Admin roles
  • See if they've agreed to Terms and Conditions
  • See if they've activated email notifications and enable or disable email notifications by clicking on the "no" or "yes"
  • Anonymize users - if you anonymize users they will get no more notifications

Students#

If you're a university and want to add students to the database, here is where you're able to do it.

  • First you need to create a regular user
  • Add a new student by entering entering the email of the already existing user and then add the student number
  • Click on "Add Student"
  • The user is now listed as student

Roles and Permissions#

Roles#

You can see how many people have which role and also add roles. Current roles are Admin, Experimenter, Participant.

  • Add new roles by entering a role name and adding it
  • After the creation of the new role name, use "Assign Permissions" to grant that role certain permissions by using "assign" or "remove"

Permissions#

Gives you a quick overview over all permissions available.
